Getting Started
What is Swift FM?

Swift FM is a professional facilities maintenance management platform that connects property owners with qualified service vendors. We handle everything from work order submission to vendor dispatch, billing, and completion — all through one easy-to-use app. We serve residential, commercial, government, healthcare, industrial, Airbnb/short-term rental, and construction site properties across all 50 states and DC.
How do I submit a work order?

Log in to the Swift FM app, tap New Service Request, describe the issue, select the service category and priority level, enter your property address, and tap Continue to Pricing. You'll see an instant price quote — approve it and we take care of the rest.
Do I have to pay before the work is done?
+
No. You approve a price quote upfront, but you are not charged until the work is completed and the final invoice is reviewed by our dispatch team. The quote shows your estimated total — the final invoice reflects actual hours worked.
What if I don't approve the quote?
+
If you decline the quote, your work order is cancelled automatically and you owe nothing. There is no cancellation fee for declining a quote before a vendor has been dispatched.

How fast will a vendor respond?

Response times depend on your priority level:
  • Emergency: Response within 1–2 hours
  • High: Response within 2–8 hours
  • Medium: Response within 24 hours
  • Low: Scheduled at your convenience
Government and commercial properties have stricter SLA targets built in. New additions include handyman, general contractor, remodeling, renovation, kitchen appliance repair, pressure washing, septic tank services, junk hauling, drain installation, security alarm systems, furnace cleaning, swimming pool installation/maintenance/repair, solar panel installation/repair, insulation, boiler installation, home entertainment installation, smoke detectors, emergency locksmith, faucet installation/repair, mold testing and removal, dumpster rental, drain pipe services, demolition, crown molding, kitchen installation, and countertop installation/repair.
Does Swift FM support asset and equipment tracking?

Yes. Clients can maintain a full asset registry inside the app — HVAC units, elevators, generators, fire systems, and any other equipment. For each asset, you can set preventive maintenance schedules. When a schedule is due, Swift FM automatically generates a work order so maintenance never gets missed. Large portfolios can be imported via CSV bulk upload.
Can I import my existing asset list?

Yes. The Swift FM client portal includes a bulk asset import tool. Download our CSV template, fill in your asset data (name, category, location, serial number, last service date, PM schedule), and upload. The system validates each row and gives you a preview before importing. Any errors are flagged row-by-row so you can correct them before the import runs.
Billing & Pricing
How is pricing calculated?

Your price quote includes two components: a call-out / dispatch fee (a flat fee for sending a vendor to your property) and an hourly rate for the work performed. Your estimated total is based on the estimated number of hours. The final invoice reflects actual hours worked — verified by our dispatch team after the vendor checks out.
Are there emergency surcharges?

Yes. Emergency priority requests include a multiplier applied to the standard rates. This is shown clearly in your quote before you approve — there are no hidden fees added after the fact.
What if the actual hours are more than the estimate?

If actual hours differ significantly from the estimate, our dispatch team reviews the vendor's completion report before finalizing the invoice. If you have concerns about your invoice, contact us at 240-755-1402 or visit our Support page.
How do I get an invoice?

After admin approval and job completion, a final invoice is automatically generated and visible in the Swift FM app under your work order details. Invoices are also available for download as PDF.
For Vendors
How do I apply to become a vendor?
+
Click Apply as a Vendor Partner on the Swift FM app or website. Fill out the application with your service specialties, coverage area, license information, and contact details. Applications are reviewed within 1–2 business days. It's free to apply.
Do I see what I'll be paid before I accept a job?
+
Yes — always. Every available job shows your call-out pay, hourly rate, and estimated total earnings before you accept. You are never committed to a job until you tap Accept.
How does the clock-in system work?
+
When you accept a job, you receive a unique 4-digit clock-in PIN valid for 24 hours. When you arrive on site, enter the PIN in the app to officially start the job. When complete, check out through the app and submit your completion report. This ensures accurate billing based on actual time on site.
What areas can I work in?

Swift FM operates nationwide across all 50 states. During your vendor application, you specify your coverage area and service radius. Jobs are matched to vendors in the relevant area.
When do vendors get paid?
+
After you check out and submit your completion report, the Swift FM dispatch team reviews and approves the work. Payment is released upon admin approval. Contact us at 240-755-1402 if you have payment questions.
Do I see what I'll earn before I accept a job?

Yes — always. Every available job in the Swift FM app shows your call-out pay, hourly rate, and estimated total earnings before you tap Accept. You are never committed to a job until you confirm. The rates shown are your guaranteed payout — no deductions after the fact.
What states can I work in, and what documents do I need?

Swift FM operates in all 50 states and DC. During your vendor application, you select which states you serve. For each state you claim, you must upload proof of registration — a state business license, certificate of occupancy, or tax ID. Vendors are not shown available jobs in a state until their documents are verified by the Swift FM team. This protects clients and ensures compliance.
How does vendor registration work?

The vendor application is a 7-step process: Business Info → Services & Coverage (state picker, nationwide option) → Credentials & Insurance → Compliance Documents (per-state upload) → Workforce & Escalation → Rates (enter your hourly rates per service, see your exact payout in real time) → Fee Agreement (review and accept the Swift FM Vendor Agreement). Applications are reviewed within 1–2 business days.
Residents & Property Management
How do residents create an account?

There are two ways: Invite link — your property manager sends you a personalized invite email. Click the link and create your account in one step — your building and unit are already set up for you. Building access code — your property manager gives you a 6-character access code (often posted in common areas or in your welcome letter). Go to the Swift FM app, tap "Create your account," enter the code and your unit number, and you're in. Either way, you'll receive a verification email before your account is activated.
How do I submit a maintenance request as a resident?

Once logged in to the Resident Portal, tap New Request. Describe the issue, select the service category (plumbing, electrical, HVAC, etc.), and choose the priority — emergency or routine. Your building and unit are pre-filled. Your property manager is notified instantly and Swift FM coordinates the vendor dispatch on their behalf.
How do property managers onboard their buildings?

Property managers register under the Swift FM Property Manager role. After logging in, they add their buildings, set unit counts, and choose how to onboard residents — either by sending individual invite emails or by sharing the building's unique 6-character access code. The PM dashboard shows pending invites, active residents, open maintenance requests, and work order status across all buildings.
What is the ResidentOps portal?

ResidentOps is Swift FM's dedicated portal for property management companies. It gives PMs a full operations dashboard: manage multiple buildings, on-call staff schedules, maintenance request queues, and vendor dispatch — all in one place. Residents interact only with the simple Resident Portal, while their PM has full operational control behind the scenes.
The App
Do I need to download an app?

No download required. Swift FM is a Progressive Web App (PWA) — you access it through your browser at swift-fm.com. On iPhone, tap the Share button → Add to Home Screen. On Android, tap the menu → Add to Home Screen. It installs like a native app and works offline.
Does the app work without internet?

Yes. Once installed, the Swift FM app caches key screens so vendors can access job details, addresses, and clock-in PINs even in areas with poor connectivity. Active data submission requires a connection.
Is my data secure?

Yes. All data is encrypted in transit using HTTPS/TLS. Authentication uses JWT tokens with secure expiry. We never store plain-text passwords and do not share your personal information with third parties without consent.
How do I install the Swift FM app?

Swift FM is a Progressive Web App — no App Store download needed. Visit swift-fm.com/app in your phone's browser. iPhone: Tap the Share icon (box with arrow) → "Add to Home Screen" → Add. Android: Tap the three-dot menu → "Add to Home Screen" or "Install App." The app installs instantly and works like a native app, including offline access to key screens.
What if I forget my password?
